Reminders

When do reminders go out?

90, 60, 30, 14, 7 and 1 day before the date you need to start renewing, at 9:00 in each recipient’s time zone by default. If that date passes, follow-ups continue on the day and 3, 7 and 14 days after, until you mark it renewed.

Why count down to a start date instead of the expiry?

Because renewals can take weeks, and processing times vary. Each license has its own lead time — say 45 days — and every reminder is timed so you start the paperwork early enough, rather than being told the day it expires.

Can I change the schedule?

Yes — for the whole workspace in Settings, or for one license on its form. You can also change the send hour and choose a single daily digest instead of separate emails.

Can people without an account get reminders?

Yes. Add them to your People directory and link them to a license, or add their address to the license as an extra recipient. Each can choose separate emails, a daily digest, or none.

Do you send text messages?

No — reminders are email only.

Documents and reading

What can it read?

PDFs, scans and phone photos (JPEG, PNG, WebP) of license cards, wall certificates, insurance certificates, declarations pages, bonds, permits, training cards and renewal notices. HEIC photos need converting to JPEG first.

Does it always find the expiry date?

No, and it says so. When a document has no clear expiry — a continuous bond, a permit that lapses only if work doesn’t start — it leaves the date blank rather than guess. Always check the date against the original before saving.

What about an insurance certificate with several policies?

Each policy is read with its own number, insurer and end date. Save the one you need, or all of them as separate licenses in one click.

Will it verify my license with the state?

No. Tracking an expiration date is not official verification, and we don’t connect to licensing boards.

How do I collect a renewed document from someone else?

Send them an upload link from the license. They upload the new document without an account; it waits for you to check before anything changes.

Teams and contractors

Can my team use the same workspace?

Yes — up to 25 team members. Owners manage billing, the team and settings; staff work on licenses.

Can I track my subcontractors’ licenses and insurance?

Yes. Add them to People, link each license to the subcontractor who holds it, and they’ll be reminded along with whoever on your team chases it.

What if the same license gets entered twice?

It’s caught before it is saved, and anything already on file twice is listed on the duplicates page for you to remove — or keep, if they really are different.

Importing

Can I bring in my existing spreadsheet?

Yes. Upload Excel or CSV, or paste rows — up to 2,000 at a time. Columns are matched for you, bad rows can be fixed in place, and you decide what happens to licenses you already have.

What happens if an import is bigger than the license limit?

Every row is read. Licenses that fit are added, updates to licenses you already have still apply, and the rows that didn’t fit are reported together so nothing is lost silently.

Plans and billing

Is there a free trial?

Yes — 7 days of everything Pro has, no card needed. After that it’s $39 a month, or $390 a year, to keep using the workspace.

What does Pro include?

Up to 1,000 licenses, up to 25 team members, document reading from photos and PDFs, spreadsheet import and the full reminder schedule.

Can I cancel?

Yes, any time, from Plan & billing. Your licenses stay, and you can still export them or come back later; reminders stop until you subscribe again.

Account and security

Why do I need to confirm my email?

So nobody can sign up with your address and have reminders sent to you. Your workspace sends nothing until it is confirmed.

Do you support two-factor authentication?

Yes, with any authenticator app, plus one-time recovery codes. Sensitive changes ask for a fresh code.

Put your next renewal on the radar.

Try everything free for 7 days. No card needed.

Then $39 a month, or $390 a year. Cancel whenever.
