FOR OFFICE MANAGERS

Keep every license, policy and bond current — without chasing anyone.

You’re the one who gets asked when something lapses. ContractorLicenseAlert keeps documents, dates and follow-ups in one place, reminds the people who hold each license, and collects the renewed copies for you.

GETTING SET UP

From a shared drive and a spreadsheet to one workspace.

  1. Bring in what you already have

Import your license spreadsheet — Excel, CSV or pasted rows, up to 2,000 at a time — and upload the documents for the dates you’re not sure of.

  2. Add the people

Invite the owners and staff who work on renewals, and add crew members, subcontractors and vendors to the directory. They don’t need accounts.

  3. Decide who hears about what

Assign each license to the person who chases it, link it to the person who holds it, and add watchers — such as a bonding agent — as needed.

  4. Let the reminders run

Reminders count down to the date each renewal has to start, and keep following up if it slips, until you mark it renewed.

Nothing lost when people change

When someone leaves or changes role, their reminders move to someone who can still act on them — no list to rebuild.

WHO GETS REMINDED

You don’t have to be the reminder.

Each license carries its own list of people, so a reminder goes to whoever has to act — not only to your inbox. Nobody is reminded twice, and each person gets their email at the send hour in their own time zone.

  • The team member it’s assigned to — or the account owners when nobody is
  • The person who holds it, from your directory
  • Supervisors and watchers who want to know
  • Once overdue, the account owners as well as the assignee
QUESTIONS

Office managers: common questions

What it does, what it doesn’t, and where your review still matters.

More answers in the FAQ
Do the contractors I track need an account?

No. Add them to the People directory and link them to their licenses. They can get reminders and send renewed documents by link without signing up.

Can I import the spreadsheet I already keep?

Yes — Excel, CSV or pasted rows, up to 2,000 at a time. Columns are matched for you, bad rows can be fixed in place, and nothing is saved until you confirm.

Can I see that reminders actually arrived?

Yes. The reminder delivery report lists every reminder sent, to whom and when, with anything that failed or arrived too late listed first.

Can other people on the team use it too?

Yes, up to 25 team members on Pro. Owners manage billing, the team and settings; team members add, edit and renew licenses.

What does it cost?

Everything here is part of Pro — $39 a month, or $390 a year — and of the 7-day free trial, which needs no card.
